Scope of this policy

This policy explains how Big Earnie Inc handles information collected through our website and the Big Earnie platform.

For the content an organization puts into its workspace, that organization decides what is collected and why, and we process it on their instructions. If your data lives in an employer’s or client’s workspace, their privacy policy governs it and requests are best directed to them — we will help them respond.

Information we collect

Information you give us:

• account details from the identity provider you sign in with — typically your name, email address, and profile image;
• organization details such as company name, roles, and team membership;
• billing contact details (card details go directly to our payment processor — we never see or store full card numbers); and
• the content you create or upload: estimates, statements of work, client and project records, documents, and comments.

Information we collect automatically:

• usage and log data — pages and features used, actions taken, timestamps;
• device and connection data such as browser type, operating system, and IP address; and
• cookies and similar technologies, described below.

Information from integrations: when you connect a third-party tool, we receive the data that integration is scoped to share.

How we use information

We use it to provide and operate the Service, authenticate users, process payments, respond to support requests, diagnose and fix problems, keep the Service secure, meet legal obligations, and understand how features are used so we can improve them.

We send service messages about your account and changes to the Service. Marketing email is separate and you can opt out of it at any time.

AI processing

When you use an AI feature, the relevant content and context are sent to a third-party model provider to generate a response. Those providers act as our subprocessors and are contractually prevented from using the content to train their models. Not using the AI features avoids this processing entirely.

Cookies and analytics

We use cookies that are necessary to sign you in and keep your session working. Where analytics or tag management are enabled, they are governed by the consent choice you make in the banner on our site, which you can change at any time.

How we share information

We do not sell personal information. We share it only:

• with service providers who run parts of the Service on our behalf — hosting, databases, email delivery, payment processing, and AI model providers — under contracts limiting their use of it;
• within your organization, where administrators and collaborators can see the work you do in that workspace;
• where the law requires it, or to investigate and prevent fraud, abuse, or threats to safety; and
• in connection with a merger, acquisition, or sale of assets, with notice before your information becomes subject to a different policy.

Retention

We keep information for as long as an account is active and afterwards as needed to meet legal, accounting, and dispute-resolution obligations. After an account closes, workspace content stays available for export for 30 days and is then deleted or anonymized; residual copies cycle out of backups on our normal schedule.

Security

We encrypt data in transit and at rest, apply additional field-level encryption to particularly sensitive values, scope every request to the organization it belongs to, and limit internal access to people who need it. No system is perfectly secure, so we cannot guarantee absolute security.

Your rights and choices

Depending on where you live, you may have the right to access, correct, delete, or receive a portable copy of your personal information, to object to or restrict certain processing, and to withdraw consent. Residents of California and other US states with privacy laws have equivalent rights, including the right not to be discriminated against for exercising them.

You can exercise these rights through our contact page. We will verify your request before acting on it, and we will never charge you or degrade your service for making one.

International transfers

We operate in the United States, and information we process is stored and handled there. Where we transfer personal information out of the European Economic Area, the United Kingdom, or Switzerland, we rely on appropriate safeguards such as the European Commission’s standard contractual clauses.

Children

The Service is built for business use and is not directed to children. We do not knowingly collect personal information from anyone under 16.

Changes to this policy

We will update this page when our practices change and revise the date above. For material changes we will give notice in the product or by email.
